How to register for the conference

Please log in to the COMET system with the information used for submission of abstracts and manuscripts, and follow the "FEE / REGISTRATION" link.

Credit card payments and proforma invoice downloads for bank transfers are available through the "FEE / REGISTRATION" link in the system. Please first read the conditions below and contact payment@sdewes.org if you have any questions.

 

What is included in the fee:

  1. Full, SAB, reduced and special reduced conference fee allows access to Conference VirtualPlatform and Comet Conference System, Book of Abstracts, downloadable Proceedings and other Conference material, the submission and presentation of up to two papers. The fee is also used to support the participation of students and participants from developing countries and economies in transition.  
  2. Attendance fee is available to non-presenting co-authors and other participants that are not planning to present any submission. In case that author changes status to presenting, he/she will have to settle the fee difference. Attendance fee allows access to Conference VirtualPlatform and Comet Conference System, Book of Abstracts, downloadable Proceedings and other Conference material. The fee is also used to support the participation of students and participants from developing countries and economies in transition.  

The social programme, lunch and coffee breaks is complimentary for registered participants that will be attending the onsite networking event.

Reduced conference fees policy

Reduced and special reduced fee may be granted to presenting authors only under the following terms: 

  • author has an accepted abstract for the conference
  • author has sent the request through the fee module in the conference submission system, before the relevant deadline

Reduced fee is granted to BSc, MSc and PhD students who have had applied by the deadline and have sent proper documentation proving their student status

Reduced fee is also granted to authors studying/working in countries which have GDP/cap of less than 10000 USD in any of the data series published by: List_of_countries_by_GDP_(nominal)_per_capita (wikipedia) 

Special reduced fee is granted to authors studying/working in countries which have GDP/cap of less than 5000 USD in any of the data series published by: List_of_countries_by_GDP_(nominal)_per_capita (wikipedia) (+ following countries AM, AZ, GE, TM, MN) max 1 author per country 

Important: reduced and special reduced fees will be granted upon request through the conference system. Requests are approved before the relevant deadline and until the quota is filled.

 

Members of IC SDEWES can have their fee waived if they have an active membership for the running year (membership expires on the 31st December) and have not yet used the waiver option at other SDEWES events in the same year.

Membership is non-refundable and non-transferable!


Other important information:

Payments will be processed by SDEWES Centre

Cancellation policy: Cancellations or any refund requests must be received in writing before February 27th, 2026 in order to obtain a refund minus a 100 EUR administrative charge. After February 27th, 2026 refunds are not available, sorry, no exception. Cancelled papers will not be published in Proceedings and will not be invited in the special issue.

No show policy: Authors which do not participate in the Conference, or who participate but do not present their paper according to the guidelines, will have their paper cancelled and the paper will not be published in the Proceedings and will not be publishable in a special issue of any of the journals. In case of no show fee refund is not possible.

Participants that need visa are kindly asked to settle their fee before December 30, 2025, since after that date the time will be too short for visa formalities (see visa page).

Publishing policy: Only papers presented at the Conference by one of the authors will be published in the Proceedings, which will be delivered to the participants online by April 20, 2026. Book of Abstracts and other Conference material including the application for later downloading online Proceedings, will only be delivered at the Conference venue to the presenting authors. The materials will not be available after the Conference by mail.

Special issue publishing policy: Only papers that corresponding authors nominate, ISC with help of reviewers recommends, presenting author has the conference fee settled by December 30, 2026 and have the paper presented at the Conference, may be invited to one of the special issues.
